Your Margins Are Getting Eaten By Manual Work – Here's How AI Changes That

Manual processes are not just slowing MSP teams down.

They are costing them money, with everyday tasks such as ticket triage, device tracking and report creation continuing to pull technicians away from higher-value service delivery.

That was the central message of a recent CRN webinar with Johnny Ghibril, GM of RMM at Kaseya, which explored how AI-driven automation can help MSPs reduce manual effort, improve service delivery and protect profitability without simply adding more headcount.

How Manual Processes Are Limiting MSP Growth

The most obvious margin drains sit at the front end of service delivery. Ticket triage, categorization, routing, onboarding, offboarding and patch exception handling are all high-frequency tasks that can still depend heavily on manual technician input.

“The biggest one of those is ticket handling itself,” Ghibril said. “Triage, categorization, routing, assignment and general optimization of the ticket allocation so that you can meet your SLAs continues to be relatively manual.”

The problem is not only that these processes take time. It is that they create bottlenecks before customer value is delivered, while inconsistent documentation can force technicians to rediscover fixes that already exist elsewhere in the business.

Hidden Costs Are Harder To Measure — But Just As Damaging

Some of the most damaging inefficiencies are also the easiest to overlook. Context switching between disconnected tools, hunting for information in separate systems and moving between consoles may add only seconds or minutes to each task, but the cumulative impact across a busy MSP service desk is significant.

“Context switching is the enemy of efficiency,” Ghibril said. “When you have to jump between one tool to the next, these are all seconds and minutes that end up eroding your efficiency.”

That friction also shows up in escalations. If level-one technicians do not have the right process, documentation or context, work that should be resolved quickly can end up with senior engineers, increasing costs and slowing down higher-value activity.

Where AI-Driven Automation Is Already Creating Measurable Value

The webinar referenced a recent report by Omdia titled The Real Cost Savings Behind Unified IT Service Delivery. According to Kaseya’s summary of the independent study, MSPs using Kaseya’s unified solution reported approximately $312,000 in annual savings for a 10-technician team, 27% more endpoints managed and 23% more tickets handled per technician, as well as 32% faster ticket resolution and 33% lower operational costs.

Those gains are not about applying AI as a thin layer on top of existing complexity. They come from changing the flow of work: enriching tickets before they reach technicians, matching issues to the right skill level and making device insight, documentation and remediation steps available in one place.

“The ticket is now assigned to the right technician with the right context and all the information is available,” Ghibril said. “You’re now focused very much on servicing the customer.”

Billing is another area where automation can have a direct margin impact. Ghibril said Kaseya saw an immediate 15% jump in billable hours after enabling automatic time logging across RMM, Autotask and IT Glue workflows — a sign that the issue was not value creation, but value capture.

AI Should Augment Technicians, Not Remove Oversight

However, the webinar also made clear that automation cannot be treated as a blanket answer. MSPs need to consider the risk, reversibility and business impact of AI-driven actions before deciding whether a process should be recommended, assisted or fully automated.

“AI is very strong for pattern matching, well-documented, low-blast-radius work,” Ghibril said. “But you don’t want to apply AI on novel issues that you have no history in resolving.”

The point, then, is not to replace technician judgment, but to scale it. AI can help technicians manage more endpoints, resolve more issues and spend less time on repetitive administration, while humans remain responsible for oversight, trust and exception handling.

Why Platform Consolidation Is Critical For AI Adoption

That distinction is particularly important in fragmented environments. If ticket data, endpoint information, identity records and customer context sit in disconnected systems, AI cannot reason across the full picture or close the loop between recommendation and remediation.

“AI is only as good as the context it can reach and analyze,” Ghibril said. “When you have partial context or distributed context, that means you have low-confidence recommendations.”

For that reason, platform consolidation and data hygiene were positioned as practical foundations rather than optional optimization projects. MSPs need clean asset records, consistent processes and integrated workflows before they can expect AI to deliver reliable, auditable outcomes.

Practical Steps For Capturing AI-Driven Gains

For MSPs looking to capture AI-driven gains now, the starting point is measurement. Mean time to resolution, first-touch resolution rate, customer satisfaction and endpoints successfully managed per technician can all help providers identify where manual work is limiting growth.

“The first most important practical step is to baseline the metrics that really matter to your business,” Ghibril said. “Mean time to resolution is probably the best predictor of what your customer satisfaction looks like.”

Rather than trying to automate everything at once, providers should focus on a manageable set of high-volume, repeatable tickets for key customers, define the process clearly and build integrated workflows around those use cases. From there, they can decide whether to build integrations internally or consolidate on a platform that reduces the operational burden.

AI will not fix weak processes by itself. But for MSPs that standardize their workflows, improve data quality and give technicians the context they need, it can turn manual effort into measurable efficiency — helping them protect margins, improve service delivery and scale more profitably.
